The following is essential information for students, parents, and others regarding in a Disciplinary Conference.
Format of DCs
Disciplinary Conferences, or DCs, are one-on-one meetings with a University administrator or a specially trained member of the University Hearing Board. Because of the limited number of people involved, DCs are best described as conversational discussions of a particular incident. DCs are usually from 30 to 60 minutes in length. Some are shorter, but few DCs are longer than an hour.
Witnesses
Most DCs do not involve witnesses; they are simply conversations with the student charged in a particular incident. When witnesses are present at a DC, the Conference Officer - also known as the person hearing the case - will ask the witness(es) questions. The student charged in the case - called the respondent - will also be able to question any witness(es). If the respondent would like to bring a witness to provide statements during the Conference, he or she must notify the Conference Officer in advance.
Who is hearing my case?
The easiest way to determine who is hearing the case is to look at the charge letter. The person who signed the letter is the University administrator handling the case. For DCs at the University Hearing Board level, a student or a faculty/staff member of the University Hearing Board, or a SJS staff member may hear the case, but students who have questions should contact the SJS staff member who sent the letter. Please note that all UHB charge letters are signed by the Assistant Dean of Students or designee. Please direct all inquiries to the contact person designated in the last paragraph of the UHB charge letter.
Location of DCs
DCs take place in the Office of Student Judicial Services, 2129 I Street, NW, the John Quincy Adams House.
Advisors in DCs
Usually students do not bring an advisor to a DC; but if a student feels more comfortable bringing an advisor to the Conference, they are allowed to do so. It is important to remember that advisors cannot speak on the student's behalf, question witnesses, or interrupt the conference.
