Mount Vernon Campus Event Request Form

Important Items to Keep in Mind in Preparation of Your Event:

  • If your group is not able to follow through with the reservation, MVCL must receive notice in writing no less than (2) business days before the start of your scheduled event. Please email Mount Vernon Campus Life to provide your notice.

  • Registered Student Organizations that fail to notify us by this deadline will receive a strike against their organization. Strikes received will hinder the group's ability to utilize Mount Vernon Campus event space in the future.

  • Departments and all other clients who pay a fee for the use of Mount Vernon Campus event space that fail to notify us by this deadline will be charged 75% of their balance.

  • We will make every attempt to accommodate last minute requests received at least (2) business days prior to your scheduled event. Requests that are made following this time may be difficult to accommodate and will result in a $50.00 setup adjustment charge.

  • Requests for event space MUST be made at LEAST THREE BUSINESS DAYS PRIOR to an event that is scheduled to occur on a Monday through Friday.
  • Requests for event space MUST be made at LEAST SIX BUSINESS DAYS PRIOR to an event that is scheduled to occur on a Saturday or Sunday.
  • Failure to submit your request according to these timelines will result in a $150.00 late charge fee.
  • Once your event has been processed you will receive a confirmation. The last page of this confirmation MUST be signed and returned at least (2) business days prior to your scheduled event in order for your event to be confirmed. Failure to do so will result in the cancellation of your event.

  • For GW departments and organizations that accrue an expense, MVCL must charge services to the Academic Facilities Charges account number. Please do not request services to be charged to another account number; it cannot be done. Mount Vernon Campus Life will provide you with confirmation when the journal entry is being processed.

Advertising at The Mount Vernon Campus:

The Vern Express:

The most efficient means of transport between the campuses is The Vern Express.  Visit [http://gwired.gwu.edu/mvcl/express] for the schedule and complete information about The Vern Express.  Please be aware that The Vern Express is used by all students and faculty/staff as a means of transportation between the Foggy Bottom and Mount Vernon Campuses. Therefore, note the number of participants’ in your event and plan your transportation to the Mount Vernon Campus accordingly. Staggering your participants’ usage of The Vern Express is highly recommended for larger groups.

Parking:
For those who wish to drive to the Mount Vernon Campus, note that ALL parking MUST occur within the campus boundaries in either the Parking Garage inside the Whitehaven Parkway entrance or the Visitors Lot inside the W Street entrance. The Visitors Lot inside the W Street entrance has meters that are monitored between 7am and 7pm on weekdays. The Parking Garage inside the Whitehaven Parkway entrance is attended between 7am and 10pm on weekdays.  (Please note that this information is subject to change without notice).  We do request that you advise all participants in your activity that parking by users of the Mount Vernon Campus is not allowed on the streets adjacent to the campus; those who do are subject to fines,
