Pricing and Payment
Service Fees
The Marvin Center provides additional services beyond space rental. However, many of these services require payment above the base room rental fee. Examples of service fees are:
- A/V Technician: In house A/V technicians are billed by the hour. Need for an A/V technician is at the discretion of the Marvin Center.
- Event Staff: In house event staff is billed by the hour for a specific event. Applicability of these charges will be determined by the Marvin Center and discussed with the client in advance when possible.
- Housekeeping: Under special circumstances, charges for housekeeping services related to a specific event may apply. These fees will be determined at the discretion of the Marvin Center and discussed with the client in advance whenever possible. These fees may also be applied in cases where a non-university contract catering company is providing food services.
- Setup/Takedown: The charges for set up and take down will be applied at the discretion of the Marvin Center. These fees are for setup and takedown of staging and related items for major events. Any set up of outside equipment for outside contractors will be billed at rates designated by the outside contractor.
- Security: The Marvin Center reserves the right to require security at any event it deems necessary. The Marvin Center will request an officer(s) from University Police. The charges are passed on to the department that is holding the event. Security is billed at the rate of $35 per hour with a 4 hour minimum. Requests for, or changes in the event that necessitate the need for University police made within 80 hours of the event start time will be billed at the rate of $70 per hour with a 4 hour minimum. Security for all events must be provided by or in cooperation with University Police.
- Grounds: Grounds is required for any outdoor event at which food is being served. Requests for grounds service will be made by the Marvin Center and is billed at the rate of $35 per person with a four hour minimum. The number of personal required is determined by the specifics of your event.
- Electrical Services: The need for electrical services is based upon the specific details of your event. Electrical services are billed at the rate of $40 per hour per person with a four hour minimum during normal business hours and at the rate of $80 per hour per person with a four hour minimum outside of those hours.
Late Request
A late reservation request is any reservation made for a standard facility less than 72 hours before the event. For a major facility (3rd Floor Ballroom, Betts Theatre, 3rd Floor Terrace, or University Yard), a late reservation is any request made less than 30 days before the date of the event. Late fees, in addition to applicable rent and service fees may apply.
No shows
A no show is any unannounced absence from a scheduled facility. The department will be responsible for all rent and other fees. Repeated no-shows may result in loss of scheduling privileges. Groups will be deemed a no-show if they do not occupy the space for at least 1/2 of the time they have reserved.
Exception to Policy
A group may apply for exceptions to these policies by filling out an Exception to Building Policy Form. The form is available at the front desk in the Scheduling and Events Office. When submitting this form, groups should attach a memo outlining the purpose of the event and why the exception is being sought.
