FWS FAQ for On-Campus Employers

The FWS Program is a federally-funded work program that allows students who have received a Federal Work Study award from GW’s Office of Student Financial Assistance to earn wages while working at pre-approved organizations—the University itself, government agencies, and local nonprofits.

On Campus Employers Frequently Asked Questions

Am I eligible to hire students?

All GW units are eligible to employ FWS students during the FWS program year, but each unit must sign a FWS Participation Agreement (anchor) with the Career Center. Employers are bound by the stipulations in this agreement.

How do I find FWS student workers?

FWS Job Fair
Attend the annual FWS Job Fair held this year on Thursday, September 3, 2009, from 1-4pm in the Marvin Center Ballrooms. At the fair you can meet students, collect resumes, and conduct on-site interviews. When you turn in your FWS Participation Agreement, the primary contact will receive e-mail instructions about how to register for the fair.

Post your FWS jobs on GWork (click here or on the GWork "Employer" link at the top right of this page), our online employment website. When you turn in your FWS Participation Agreement, the primary contact will receive e-mail instructions for posting jobs on GWork.

How do I report hours?

Your department must submit hours to GW Payroll Services through the Kronos Time Reporting System so that your students are paid on University paydays.

What is my department's financial obligation?

Your department pays 25% of the student’s wages and the federal government pays 75%, as long as the student’s wages do not exceed his/her FWS award. Your department will be charged for its 25% share every month. You will pay 100% of any wages earned in excess of the student’s FWS award. GW Payroll Services issues checks to FWS students every other week and the 75%-25% funding split takes place “behind the scenes” and is invisible to the FWS student.

What is a typical hourly pay rate for students?

The pay rate for a student working on campus is typically between $8.25 - $12/hour depending on skills, education, and experience.  You must pay at least the minimum wage in the District of Columbia, which will be $8.25/hour for the 2009-2010 FWS year. The minimum wage rises to $8.25/hour on July 24, 2009. Click here if you need guidance with wage rates.

How do I hire a student?

Use the online Student Hire Application, which is available through your myGW portal. View the 13-minute training module through GLearn by logging into your myGW portal. Select Training, IT-GLearn and scroll down until you see the module, which is called "Online Student Hire Training." How do I monitor student earnings?

We suggest that on the first day of each month you ask your students to print a new copy of their Employment Authorization Form (EAF) from their GWeb accounts. This will show you how much money remains in their award. Students must stop working in a FWS capacity when their awards run out.

What do I do when a student leaves my FWS job?

If the student ends his/her temporary employment with your department, submit an online Change in Status Termination through your myGW portal. Failure to terminate a student may result in wages being accidentally charged to your department. Failure to terminate a student from your department will also prevent the student from working elsewhere on campus.

What if I want to change the student's pay rate?

Submit a hard copy of the Change in Status form to the Career Center. The form can be found under the Workforce Management heading at http://www.gwu.edu/~hrs/forms_library/index.html.

What happens when a student runs out of FWS funds?

Either your department must hire the student as a wage account employee (Account 51229) and fund 100% from your department, or the student must stop working.

How do I convert a student from FWS status to Wage Account status?

Two steps: (1) Complete an online Change in Status Termination for the FWS position (Account 51225) and then (2) create a hiring request using the Automated Student Hire for the wage position (Account 51229). Both actions are accessed through your myGW portal.

How should I keep up to date on FWS issues?

As we receive completed FWS Participation Agreements, we add the three contact persons to our FWS listserv—our mechanism for keeping you informed of important information about FWS issues. You may also join the listserv by emailing fws@gwu.edu and requesting a subscription.
