2008-2009 GW Federal Work Study: Employer Participation Information

2008-2009 FEDERAL WORK STUDY PROGRAM
Start Date: Tuesday, September 2, 2008
End Date: Saturday, May 2, 2009

(The Career Center is currently renovating its website, and more up to date information will be up on the new site in July).

GW’s FEDERAL WORK STUDY PROGRAM IN BRIEF:

The GW Federal Work Study (“FWS”) Program is a structured program subject to the regulations of the U. S. Department of Education. The University is audited annually to ensure compliance with federal regulations.

Students who apply for federal financial aid (through GW’s Office of Student Financial Assistance, or “OSFA”) may be awarded FWS funds as part of their overall financial aid package.

The amount of FWS funding a student receives equals the wages that student may earn at a pre-approved FWS job during a given FWS program year. For example, a student who is awarded $2,000 in FWS funds may earn up to $2,000 at a pre-approved FWS job and have those wages partially covered by the federal contribution.

As long as the student’s total gross wages are equal to or less than the amount of the FWS award, 75% of those wages will be reimbursed by the federal government. The employer pays 25% of the student’s wages.

All student wages earned in excess of the amount of the FWS award will be paid 100% by the employer.

GW Payroll Services issues a check to a FWS student every other week (same pay schedule that regular employees follow) and the 75%-25% funding split takes place “behind the scenes” and is invisible to the FWS student.

All GW units are eligible to employ FWS students during the FWS program year, but each unit must sign a 2008-2009 FWS Participation Agreement with the GW Career Center. Employers are bound by the stipulations in this agreement.

Only selected off-campus non-profit employers who have applied and been accepted into the 2008-2009 program may employ GW’s FWS students. Contact fws@gwu.edu to find out when this year’s deadline will be.

The GW Career Center supports the “employment” aspects of the FWS program once a student has been given, and chooses to accept, a FWS award by GW’s Office of Student Financial Assistance.

On campus employers will now use the new online Student Hire Application which is available through your myGW portal.  To view the 13-minute training module through GLearn, you must be logged into your myGW portal.  Select  Training, IT-GLearn and scroll down until you see the module, which is called "Online Student Hire Training."   Click here for more information.

ON-CAMPUS EMPLOYERS
(Affiliated with GW)

All GW campus units are eligible to hire Federal Work Study (FWS) students and may do so at any time during the Federal Work Study program year. You must have a Banner code to which your portion of the student wages will be charged. The 2008-2009 FWS program year begins on Tuesday, September 2, 2008, and ends on Saturday, May 2, 2009. If you employ a student outside of those dates, you must hire them under Account 51229 as "Student Wage Employees" and pay 100% of their wages.

Each GW unit wishing to hire a FWS student must do the following:

1. SUBMIT FWS PARTICIPATION FORM
Submit the original version of a signed 2008-2009 Federal Work Study Participation Agreement. You may fax a copy to the GW Career center's Student Employment unit at (202) 994-6011 but you must also send the original copy - we need this for our federal audits. To get this document, contact fws@gwu.edu.

2. SUBMIT JOB POSTING FORM
Complete a Job Posting form for each position you'd like to fill. This is required even if you're rehiring last year's FWS student(s) into the position - we need this for our federal audits. To get this document, contact fws@gwu.edu.

3. LEARN TO USE NEW ONLINE STUDENT HIRE APPLICATION
Familiarize yourself with the new Online Student Hire Application, which replaces the paper-based hiring process.  Click here to download the Employer's Cheat Sheet which explains how to hire FWS (Account 51225) and Wage Account (51229) student employees:

4. REGISTER FOR "HIRING STUDENT EMPLOYEES"
Check the Employee Training & Development website for the next sessions of "Managing Student Employees" and "Hiring Student Employees." Click here for more information.

OFF-CAMPUS EMPLOYERS

(NonProfit, Community Service-oriented; Not Affiliated with GW)

Each year, a limited number of off-campus non-profit applicants apply and are chosen to participate in  GW’s Off-Campus FWS program.  Acceptance is based on an organization’s compliance with the federal guidelines established by the U.S. Department of Education.

The Off-Campus program offers unique opportunities for GW’s students but requires intense preparation and oversight by the GW Career Center. For this reason, we adhere to an annual application deadline that expires during the first week of July.  Contact fws@gwu.edu for information on this year's deadline.

If you would like to receive an application in late May 2009 for our 2009-2010 FWS program, please send your request to fws@gwu.edu. We’ll need a contact name and contact information for your organization.
