Event Registration

In order to register your event, please be sure to complete the steps outlined on the Event Registration Checklist. Click to view the Checklist

If you fail to provide the proper documentation, or if your event does not comply with University guidelines, you may receive the following messages.


Title of Event
Please call the Center for Alcohol and other Drug Education (C.A.D.E.) at (202) 994-2599 and provide the name of your event.

Venue
Please send the Marvin Center Scheduling verification forms to the C.A.D.E. office in Thurston Hall room 114.

Submitted
Please call the Center for Alcohol and other Drug Education for further instructions at (202) 994-2599.

Improper Advertisement
In addition, the University recommends the sponsoring organization not utilize promotional companies that consistently violate the University's alcohol policy and DC law by targeting solicitations and advertising to underage students. (ABCD, IV)

The advertisement does not meet the University's guidelines. (ABCD, IV, B 1-12)

Application Procedures
The application was not signed by your advisor.   Alcohol requests will not be approved unless signed by the organization's advisor. (ABCD, III, B, 1)

The application was not submitted in ten working days before the event.  If it had been, the Alcohol Registration Request Coordinator would have noted the problems with your request and offered you the opportunity to re-submit their request.  The University strongly encourages the sponsoring organization to submit further requests to the Committee ten working days before your events. (ABCD, III, A, 11 and ABCD III, B, 1)

Excessive Alcohol
The amount of alcohol that you are requesting is excessive.  The University will only register events at which the alcohol requested is limited to three drinks per person throughout the event. (ABCD, Preamble)

The sponsoring organization is requesting excessive quantities of alcohol for the size of the event. (ABCD, Preamble)

Liability
The sponsoring organization's Sober Monitors must sign the Sober Monitor Commitment Form.    

Forms may be printed from the CADE web site or picked up from the Center for Alcohol and other Drug Education, Thurston Hall Suite 114. (ABCD, III, A, 2; ABCD, III, A, 11)

The sponsoring organization has not identified who will be serving alcohol on your application.  The sponsoring organization needs to have someone who is at least 21 years old serving the alcohol that you requested for  your  event.  Alcohol cannot be left unattended at any time during your function. (ABCD, III, A, 6)

The sponsoring organization must submit the Third Party Vendor Agreement form to The Center for Alcohol and other Drug Education.  Management of the establishment at which your event will convene must sign the Third Party Vendor Agreement confirming that they have a liquor license, they carry at least $1,000,000 worth of liability insurance, and they assume all responsibilities associated with the service of alcohol. (ABCD, III, A, 6)

The sponsoring organization may be required by the Alcohol Request Coordinator to submit a guest list of expected attendants and their Date of Birth for your event to The Center for Alcohol and other Drug Education one week before your event will take place. Note: Greek Organizations must also submit a complete guest list to Greek Affairs within one week after your event has commenced. (ABCD, III, A, 1)

Participants must purchase their own drinks from the cash bar.  No one is permitted to purchase alcoholic drinks for other participants. (ABCD, III, A, 3 and ABCD II, A, 3)

Food
The sponsoring organization's application  was not clear about the food and non-alcoholic beverages that will be served during the event.  The University is only interested in the food and beverages that will be served during your event. (ABCD, III, A, 5)

Security
The sponsoring organization must have at least one security officer present during the event.  Contact Marvin Center Scheduling to schedule a security officer at least  72 hours prior to your event. (ABCD, III, B, 5)

The sponsoring organization's has not identified security, nor sober monitors.  Given that your event will be located in a secluded location and that alcohol is a drug that can have unpredictable effects on those who consume, the University would require security and sober monitors to limit the risk of negative outcomes. (ABCD, III, B, 5)

Please provide the credentials of the security agency for this event to the Center for Alcohol and other Drug Education, Thurston Hall Suite 114, prior to the event. (ABCD, III, B, 5)

RAM
The sponsoring organization must have a RAM trained representative who has been trained in the Spring 2007 or Fall 2006 semester.  Please submit the name to Student Judicial Services with your application. ABCD, III, B, 1

Attendance Policies
The University require at least one Sober Monitor per 20 guests.  Sober Monitor Commitment Forms must be filled out completely and signed by each Sober Monitor.  A signature on the application is not sufficient. (ABCD, III, A, 11 and ABCD III, B, 1)

The application does not indicate any Sober Monitors, nor has the sponsoring organization submitted the Sober  Monitor Commitment Forms signed filled out completely and by each Sober Monitor. The University requires at least one Sober Monitor per 20 guests. (ABCD, III, A, 11 and ABCD III, B, 1) 

The Alcohol Policy specifically states that alcohol service will only be approved for events at which at least 50 percent of attendees are of legal drinking age.  The University requires that the sponsoring organization reduce the amount of underage students, to increase the amount of students who are 21 years or older or to forego the service of alcohol. (ABCD, III, A, 1)

Scheduling
The Alcohol Policy states, "Alcoholic beverages may be served and consumed at University-sponsored activities only during the following hours: Sunday through Thursday: 11:00 a.m. - 11:30 p.m.  Friday and Saturday: 11:00 a.m. - 1:30 a.m. " 

Other Department Policies
SASS funds (including SA, SAC and GAPSA) cannot be used to purchase alcohol or to pay for any alcohol related expenses, including bar tending and servers.  The sponsoring organization must find an alternative means of paying for alcohol and the alcohol service. Contact the Student Activities Center for further details.

Age Verification
Every event where alcoholic beverages will be served must have someone who is at least 21 years old serving the alcohol.  Alcohol cannot be left unattended at any time during a social function. It may be appropriate to hire someone from the University catering department to serve alcohol to guests.  (ABCD, III, A, 6)

Attendees 21 and older must wear an identifying wrist band.  Additionally, those participants under the age of 21 must have a distinguishing hand marking. (ABCD, III, A, 2)
