Event Registration

According to The George Washington University Alcohol Policy, an event must be registered if it is a "University-Sponsored Activity".  "University-Sponsored Activities" are events and activities which:

1. Are expressly authorized, aided, conducted, or supervised by the University; or

2. Are funded in whole or in part by the University; or

3. Are initiated and conducted or promoted by an officially-registered student organization, University department, faculty member or employee; or

4. Take place on University premises. The "Sponsors" of a University-sponsored activity are the student organization(s), or University department(s), faculty member(s) or employee(s) initiating, conducting, directing, or supervising the activity.




How to Register Events

To complete the request for registration of an event where alcohol will be served, simply complete the forms and submit to the Center for Alcohol and other Drug Education located in Thurston Hall Suite 113 AT LEAST 5 BUSINESS DAYS PRIOR TO EVENT.  Faxed forms are also accepted at 202-994-2020.   The registration forms can be printed right from the CADE website under the link on the homepage.  There are separate forms for undergraduate students, graduate students or faculty/staff.  Please be sure to print the correct forms. 

IMPORTANT: Please note that events with alcohol can not occur on reading days or final days.  The Center for Alcohol and other Drug Education will not accept event registration forms for events taking place between May 1st and May 12th

Information about Requesting to Register an Event Where Alcohol will be Served

The George Washington University is committed to providing a safe campus and promoting a healthy environment. To this end, the University has established policies and programs to educate our community and provide for responsible activities for all its members.

The Alcoholic Beverage Consumption and Distribution (ABCD) Policy provides guidance regarding the use of alcoholic beverages on The George Washington University campus as well as at events sponsored by The George Washington University groups and organizations.  All members of The George Washington University community are expected to be familiar with, and are held accountable for, all policies of the University.  Please take the time to review the ABCD Policy prior to planning an event where alcoholic beverages will be served. The ABCD Policy is available on line, at the Office of Scheduling and Events (Marvin Center, Suite 204), the Student Association Office (Marvin Center, Room 424), and the Center for Alcohol and other Drug Education (The John Quincy Adams House).

The University allows for responsible consumption of alcoholic beverages through compliance with the ABCD Policy.  

Alcohol may:

1. Be served and consumed only in accordance with the ABCD Policy.
2. Be consumed by those of legal age to consume alcohol (at least 21 years of age).
3. Be consumed in a defined area where all entrances and exits are monitored and restricted.
4. Be served by Third Party Vendors (required for events occurring at locations off University property). Third Party Vendor Contracts must be submitted for review with the Alcohol Registration Request Form.

NOTE:  (Ref. ABCD III A 6): Unless otherwise specified by other published University policies, alcoholic beverages may only be served by University food service personnel or by members of the sponsoring organization(s) who are at least 21 years of age. For activities occurring in the Marvin Center, all servers shall be under the supervision of a manager provided by the University food service contractor or the University Club. The vendor/server must be certified/licensed to serve alcohol, and provide written acknowledgment of their understanding, compliance and enforcement of the University Alcohol Policy and D.C. laws governing the service of alcohol.

Alcohol may NOT:
1. Be the only beverage served at a registered event.
2. Be the main focus of a registered event.
3. Be obtained through the use of falsified/fraudulent identification.


The Sponsoring Organization:
1. Must submit a request for registration of an event where alcohol will be served at least 5 business days prior to the event date;
2. Is responsible for the proper distribution of alcoholic beverages;
3. Is responsible for compliance with the laws of the District of Columbia;
4. Must be in good judicial standing with the University in order to register its event;
5. Must delegate at least one member of the sponsoring organization to successfully complete the University's Responsible Alcohol Management (RAM) class during one of several pre-scheduled RAM classes.  Each organization is responsible for contacting the Center for Alcohol and other Drug Education at 202-994-2599 in order to attend a RAM class;
6. Must ensure that no one consumes excessive amounts of alcohol. This is the responsibility of the RAM trained individual and the overall organization. 
7. Must obtain the approval of the sponsoring organization's advisor (signature) for every event submitted for registration;
8. Must provide alternative, non-alcoholic beverages and food for those under the legal drinking age and for those who choose not to drink;
9. Must submit for approval samples of any advertising and/or promotional materials for the event with the completed request for registration;
10. Must, if required, arrange for event security (University Police Department) through the Marvin Center.
12. Must, in case of an emergency, contact the University Police Department at 202-994-6111.

Center for Alcohol and other Drug Education: 
1. Reviews all requests submitted at least  five (5) business days prior to an event;
2. May require the presence of a University Police Department officer(s) and/or other security personnel at University-sponsored activities at which alcoholic beverages are to be served.  The Coordinator will follow established. Guidelines for Event Security  as directed by the Office of Scheduling and Events and other University offices.
3. Will register events that are fully in compliance with the ABCD Policy and other University policies.
4. Will provide confirmation or denial of registration via posting to the CADE List of Event's website and via email message to the person submitting the request.


University-Sponsored Activities  are activities and events that:
1. Are expressly authorized, aided, conducted, or supervised by the University; or
2. Are funded in whole or in part by the University; or
3. Are initiated and conducted or promoted by an officially-registered student organization, University department, faculty member or employee; or
